Student Employment

Work-Study is a government-subsidized employment program designed to assist students in financing the cost of their education. To be eligible for work study a student must demonstrate financial need by completing the Free Application for Federal Student Aid (FAFSA) and the CSS Profile. At Wingate, financial need is reviewed every year. Students who qualify for work-study will be notified of their award by the Financial Aid Office as part of their comprehensive aid package. Students with a work-study award are given priority over non-work study students in securing employment on campus. 

A work-study job is not a "study hall." Student employees play a key role in the operational support of the college. Before each shift, check in with your supervisor to determine what work needs to be done on behalf of the department. In some instances, if a supervisor does not have an assignment, then you can ask whether it is permissible to study.  

Yes, non-work study students work on campus. Open jobs are posted on Handshake in mid-July for the following academic year. Students with work study are given a priority hiring window through the first week of school. After that point, non-work study students can be considered for the remaining open positions.  

To begin working legally, you must complete the Federal Form I-9 on or before your first day of work. Students must go to the Financial Planning Office (or emailed to workstudy-grp@wingate.edu) and present original documents from the list of acceptable documents to prove their identity and authorization to work in the United States. All employees are paid electronically so direct deposit will also need to be established. 

Additionally, the Student Contract must be completed.

Most students work between 5-10 hours per week. The university discourages students working more than 20 hours per week and international students are prohibited from working more than 20 hours per week under their student visa. International students with an F-1 Visa are permitted to work up to 20 hours/week while classes are in session.  No student is permitted to work more than 29 hours per week under the work-study program.

You need to log into the ADP Timeclock to clock in and out.

If you forget to clock in or out, do nothing and wait until your next scheduled shift. At that time, when you attempt to clock in (or out), you will be prompted to enter the missed punch. You can also notify your time approver and they can correct error. 

If you forgot to enter your hours, do not record the hours on your next shift. You must record hours under the correct date, time and pay period that were actually worked/earned. Incorrectly reporting your time is considered falsifying a time sheet and is in violation Our Community Standards.

Human Resources determines the pay level based on the job description provided by the hiring manager. Jobs that have similar skill requirements will have the same pay level.  

Yes, student earnings are considered taxable income for federal and state income tax purposes. During the academic year, students are exempt from FICA (Social Security and Medicare) taxes. During the summer, students are considered regular employees and thus subject to FICA taxes. International Students should fill out the NC-4 NRA form (Nonresident Alien Employee’s Withholding Allowance Certificate).

Yes, students employed at Wingate are covered by the university’s worker compensation policy. If you are injured in course and scope of your job, you should contact your supervisor immediately.
